For administrators
Before the meet
1Create the meet Guide
- Meets & races → New meet.
- Name, venue, start date (end date blank for one day).
- Event Timezone Settings: set it. Every time is stamped from it.
- Chief judge, recorder and assistants (print on the summary sheet).
- Save new meet.
2Add the races Guide
- By hand: name, start time (24-hour), distance, mode → Add race.
- From Roster: Import from Roster Athletics… → schedule CSV (+ start list) → tick events → Import.
- Mode: Penalty zone (3 reds → zone) or DQ only (3 reds → DQ).
Races at the same time? Number athletes by bib, not start order.
3Enter the athletes Guide
- Race → Athletes → Bulk import, one per line:
101, COWLEY Rhydian, AUS. - Correct in place (number, name, country) → Save changes.
- Races running at the same time must not share bib numbers.
4Register officials Guide
- Search the Officials list first. They may already be registered.
- Add an official: code (letters & digits), name as on the sheet, country, email (optional).
- Write the PIN down. It is shown once.
- Same code and PIN at every meet, for life.
5Assign the panel Guide
- Meet → Judging panel: official, role, judge number 1–9, races → Add to panel.
- One chief judge per race; each judge number once per race.
- Different position in different races → Positions…
- 🔒 = cards issued; that position is fixed.
6Print and hand out
- Panel grid → Print for the judges’ room.
- Judge record sheets (PDF) once panel and fields are final.
- Give each official their code and PIN privately.
- On the day: race → Start race.
